Accounting and Administration Officer

Job Summary
The Accounting and Administration Officer will be responsible for managing the organization’s financial records, overseeing procurement processes, and ensuring efficient office administration. The role will involve maintaining accurate accounting records, managing vendor relationships, and supporting the day-to-day administrative functions of the office. This role requires a detail-oriented professional who can multitask effectively while ensuring compliance with financial, procurement, and administrative policies.
Main Tasks and Responsibilities
Accounting & Financial Management
- Maintain accurate and up-to-date financial records, including general ledger entries, accounts payable/receivable, and reconciliations.
- Process payments, including vendor payments, payroll, and internal reimbursements, ensuring accuracy and timely disbursements.
- Prepare monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow statements.
- Assist in the preparation of budgets, forecasts, and financial reports for management review.
- Ensure compliance with tax regulations (VAT, PAYE, corporate tax) and submit necessary returns in a timely manner.
- Monitor cash flow and ensure proper financial controls are in place to safeguard company assets.
- Support external audits by providing financial data and reports as needed.
Procurement
- Manage the procurement cycle from requisition to payment, ensuring compliance with organizational procurement policies.
- Source and evaluate vendors, negotiate contracts, and maintain relationships with key suppliers.
- Prepare and issue purchase orders, and track delivery of goods and services to ensure timely and accurate receipt.
- Ensure cost-effective purchasing by conducting market research and analyzing price trends.
- Maintain accurate procurement records, including supplier contracts, purchase orders, and inventory data.
- Liaise with finance to ensure timely payment of vendor invoices and resolve any discrepancies.
Administration
- Oversee the general administrative functions of the office, including facility management, office supplies, and equipment maintenance.
- Coordinate travel and accommodation arrangements for staff and external visitors.
- Organize and manage company events, meetings, and workshops, ensuring logistics and catering are in place.
- Ensure effective document management and filing systems are maintained for easy retrieval of important records.
- Provide administrative support to management and other departments as needed.
- Monitor and manage office expenses, ensuring cost control and budget adherence for administrative functions.
Education and Experience Requirements
- Bachelor’s Degree in Accounting and finance, or a related field.
- 3-5 years of experience in accounting, procurement, and administration, preferably in a similar role.
- Strong understanding of accounting principles, procurement processes, and office administration best practices.
- Proficiency in accounting software (e.g., QuickBooks, Zoho Books) and Microsoft Office (Excel, Word, PowerPoint).
- Excellent organizational skills, with the ability to manage multiple tasks and deadlines.
- Strong negotiation, communication, and interpersonal skills.
- Attention to detail and high level of accuracy.
- Ability to work independently and as part of a team.
- CPA is an added advantage
