Administration and Procurement Assistant (Uganda)

Experience Level: At least 2 years of proven experience in a similar administrative support or office assistant role, with exposure to procurement or finance tasks.
Key Responsibilities
A. Procurement Execution & Support (40%)
1. Support the full cycle of procurement requests: from receiving and checking requests, obtaining quotes, to issuing Purchase Orders and following up with vendors for timely delivery.
2. Maintain accurate and organised digital and physical procurement files, vendor lists, and inventory records.
B. Administrative & HR Administrative Support (50%)
1. Oversee daily office operations, including managing supplies, facilities (cleaners/security), and meeting room bookings.
2. Provide comprehensive recruitment and onboarding support: scheduling interviews, preparing offer documents, and setting up new hires with all necessary tools and access.
3. Maintain the company calendar, scheduling key meetings and sending reminders for deadlines, reviews, and appraisals.
4. Administer the staff leave tracker and provide support for staff welfare initiatives.
C. Finance Support (10%)
1. Manage the company asset register, conduct tagging, and support periodic inventory counts
2. Assist the Finance team by preparing payment packages, filing supporting documents, and performing basic data entry to ensure accurate records.

Qualifications & Experience
- A minimum of a degree or its equivalent in Procurement, Finance, Business Administration, or a related field
- At least 2 years of proven experience in a similar administrative support or office assistant role, with exposure to procurement or finance tasks.
- Proficiency in standard office software (MS Word, Excel, PowerPoint, and email) and comfort learning new digital systems.
